What it costs and what we move

We move startups, nonprofits, and small firms of up to about 30 workstations. Most moves run $880 to $3,850, depending on the number of workstations, the floors, elevator access, and after-hours timing. You get a flat quote after a ten minute walkthrough, in person or by video.

Six weeks out: the buildings

Commercial buildings have more rules than apartment buildings, and both of yours have them.

• Ask each property manager for the move rules in writing.
• Reserve the freight elevator and the loading dock at both buildings.
• Ask which hours moves are allowed. Many buildings require evenings or weekends.
• Send us each building's insurance requirements. We issue certificates for both at no extra charge.
• Order internet at the new office now. Commercial installations can take weeks.

Four weeks out: the plan

Decide where everything is going before anyone packs.

• Draw a floor plan of the new space and number every desk position.
• Give each person their number.
• List furniture that is being replaced, so it is not moved.
• Choose the move window. Friday evening through Sunday is the most common.
• Name one person at each building who can make decisions on the day.

Two weeks out: labeling and purging

Labels are what make Monday work.

• Put the desk number on every box, monitor, chair, and computer.
• Have each person pack their own desk and take personal items home.
• Shred or archive files you do not need. Moving paper is expensive.
• Back up every computer and the server.
• Photograph the cable setup at any shared equipment.

Technology

We disconnect, pad, move, and reconnect monitors, docks, printers, and standard workstation equipment, with basic cable management for power and display at the new desks. For server racks and network cutovers we work with your IT lead or provider. We lift and place, and they configure. Schedule your IT person for the same window.

Confidential files

Filing cabinets stay locked and sealed in transit. Loose files can travel in tamper-evident totes, with your point of contact signing at pickup and at drop-off. For medical, legal, and financial offices we keep an inventoried chain-of-custody log on request. Tell us when you ask for the quote.

The Monday checklist

Walk the new office on Sunday with this list.

• Internet and Wi-Fi are working.
• Every desk has its computer, monitor, and chair, and they power on.
• The printer is connected and prints.
• Phones work.
• Keys, fobs, and alarm codes have been handed out.
• Empty boxes and crates are stacked in one place for pickup.

After the move

Update the address with the post office, your bank, your insurer, your state and local business registrations, and your website and listings. Tell clients and vendors the date the new address takes effect.
